How to answer our questions
During the documentation project, we will send you questions. This page explains how we would like you to respond.
- We send questions in a Word document (questionsn.doc, where n is a digit). Rename this (suggestions: answersn.doc or questionsn-response.doc).
- Send all answers at one time. Embed the answers in the response document (or reference external documents). It is easier for us to track answers if they are all in one place.
- Do not guess an answer. Sometimes we ask questions that you may not be able to answer immediately. It is better to write 'to be confirmed' than to guess a probable answer.
- Where practical, respond with statements (unless you need clarification of our questions). If you are suggesting something, make clear that it is a suggestion, instead of a request.
- Sometimes, more than one person gives answers. Historically, we have found that different people have different viewpoints. We cannot know what your 'reality' is (sometimes, part of our job is to help you to achieve a consensus), and we do not want to become embroiled in internal political wrangling! Make sure that all stakeholders come to an agreement. If an agreement is not possible, make an executive decision.
- Sometimes, you may find it easier to answer some questions through discussion. Typically, this happens when you need to explain conceptual information.
